In early 2023, Citrine was tasked with the comprehensive design and delivery of a groundbreaking 3.5 day leadership conference in Brisbane, Australia. For the first time ever, this global company was bringing together their top 350 leaders for an in-person event. More than anything, we needed to provide the right conditions for folks to deeply connect. In a milestone year for the company, the event needed to enable our guests to reflect on their past, make progress against their strategy and shape the future of their business.
Using our EPIC experience model, we thoughtfully designed every minute of the 3.5 day experience, as well as all pre and post communications.
Programming highlights included:
- Workshops with Amy Gallo – a contributing editor at Harvard Business Review and co-host of HBR’s Women at Work podcast
- An immersive content experience inspired by Van Gogh’s Lume, which saw guests rotate through 4 different immersive spaces including a darkened room playing customer voices and a silent disco video experience showcasing stories from field employees
- A coffee and conversation session with a former CEO on a pop up outdoor stage, complete with barista-made coffee and roaming breakfast snacks
“The level of detail has been wonderful, you can see how much work has gone into it.”
Health and wellbeing was a top priority for this client, so we designed a wellness program which featured a range of activities to get folks moving and grounded in the present moment. We offered everything from sunrise kayaking to scenic cycling, yoga to didgeridoo soundscapes.
The event also needed to showcase the region. Our opening event was held at the elegant Queensland Art Gallery (QAGOMA) and included a welcome from an exhibition curator and private viewing. We were honoured to have renowned Indigenous Chef Mark Olive join us for a custom lunch experience showcasing local Indigenous foods and flavours. We hosted the event at the iconic Royal Brisbane Showgrounds and worked with the renowned head chef to treat our guests to ‘An agricultural showcase’ feast one evening, featuring award winning food and beverages. Guests were welcomed with two gift packs – one featuring local snacks and beverages, and the other with personalised welcome gifts from partners in the area.
We dreamt up fun, authentic and creative ways for people to connect. We printed custom coffee cups with conversation prompts to kickstart people’s days, and we built a leadership advice exchange where folks took home a piece of impactful leadership advice from another guest. Perhaps most powerfully, we built a legacy tree – a co-created visual metaphor in which the tree represents the company’s life, legacy and some of the elements that make it up – past, present, and future. Guests interacted and engaged with the tree over the course of the event, adding cards, leaves and polaroids.
Unwavering attention to detail resulted in a seamless guest experience throughout the conference – no mean feat when moving 350 people across two hotels, one Convention Centre, and three evening locations!
The event website and app allowed attendees to stay informed of the conference agenda, engage with questions and polls, and access real-time updates and notifications.
But the highlight of the event had to be our final connection activity – Pub Choir. Serving as a divider between programming the closing celebration, Pub Choir was an unforgettable experience for our guests. Australian vocalist, conductor and composer Astrid Jorgensen OAM, expertly led the group in a rousing and laughter-filled rendition of ‘I Want to Break Free’ by Queen. This set the tone for a joyful final dinner at the Brisbane Town Hall which closed with a packed dancefloor.
“This is the most well-organized conference I’ve ever been to!”
